Job Description

We are looking for a proactive and organized Admin Executive to support the smooth running of our people-related functions and programs. This part-time role plays a vital part in ensuring the efficiency of our Corporate Services team and delivering consistent professional experience for both internal and external stakeholders.

Key Responsibilities:

1. Human Resource Administration

  • Maintain and update HR records, including employee databases, leave records, and personnel files (physical and digital).
  • Provide support to employees in navigating the HR management system/app and serve as a helpdesk for HR-related benefit enquiries.
  • Assist with payroll administration, ensuring all necessary supporting documentation is complete and accurate.
  • Help coordinate employee engagement activities and training sessions.
  • Assist in administering employee satisfaction surveys and compiling responses.
  • Support recruitment processes, including job postings, interview scheduling, and documentation management.
  • Coordinate logistics for internal meetings and external events, including refreshments and equipment setup.

2. Volunteer Management Administration

  • Maintain a centralized volunteer database.
  • Assist with volunteer recruitment, onboarding, and orientation.
  • Ensure volunteers receive up-to-date materials and resources for their roles.
  • Serve as a key point of contact for general volunteer inquiries and feedback.
  • Assist in collecting volunteer assessments and feedback.
  • Help organize volunteer recognition and appreciation initiatives.

Requirements:

  • Diploma in Business Administration, Human Resources, or a related field.
  • Minimum 2 years of relevant administrative experience.
  • Strong organizational and multitasking skills.
  • Good communication and interpersonal abilities.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint).
  • Discretion and professionalism in handling confidential information.
  • Experience with HR systems or volunteer management platforms is an added advantage.
